I need to be honest with you about something.
Last year, I spent an entire afternoon trying out "the 15 best AI tools for productivity" that everyone was talking about. I created accounts, watched tutorials, tested features... and by the end of it, I was exhausted and confused.
Sound familiar?
Here's what I learned: the problem isn't that we need more AI tools. The problem is that we're trying to use too many.
After a year of testing everything from obscure Chrome extensions to enterprise-level platforms, I've realized something crucial. You don't need 50 AI tools. You don't even need 15.
You need exactly 5.
And I just made a video breaking down which 5 tools actually matter, what each one does best, and most importantly—when to use which one.
🤔 Why only 5 tools?
Think about it this way: you probably have a favourite restaurant for pizza, another for food, and maybe one for coffee/drinks. You don't need to know every restaurant in your city to eat well. You just need to know where to go for what you need.
AI tools work the same way.
Instead of juggling a dozen different platforms and never really mastering any of them, I use 5 specific tools. Each one has a clear purpose. Each one solves a specific problem. And together, they cover about 90% of everything I need AI to do.
The best part? They're all free (or have strong free versions). No credit card required.
🎯 Here's what each tool does:
ChatGPT is my go-to for pretty much everything. Need to write an email? ChatGPT. Brainstorm ideas for a project? ChatGPT. Explain a complex concept in simple terms? You guessed it. Think of this as your default AI assistant.
Claude is where I go when I need something analyzed deeply. If I have a long document, a research paper, or something that requires nuanced thinking, Claude handles it beautifully. It doesn't just summarize—it actually thinks about what it's reading.
Perplexity is my research engine. Unlike ChatGPT, which has a knowledge cutoff and depends on web search tools, Perplexity natively searches the web using AI in real-time and gives you citations for everything. Need to fact-check something? Research current events? This is the tool.
Gemini is perfect if you're already living in the Google ecosystem. It integrates with Gmail, Google Docs, and everything else Google. Plus, it can analyze and create images, which is surprisingly useful.
Gamma creates entire presentations in minutes. I'm talking about professional-looking slides with design, layout, and content. What used to take me 2 hours now takes 20 minutes.
But here's the thing—knowing these 5 tools exist isn't enough.
💡 The real secret: knowing WHEN to use each one
This is what most people miss. They know about ChatGPT, maybe they've heard of Claude, but they don't know which tool to reach for when they sit down to work.
That's why in the video, I walk you through a simple decision tree:
Got a general question or need to write something? → ChatGPT
Need to analyze a long document or research paper? → Claude
Need current information with sources you can verify? → Perplexity
Already using Gmail and Google Docs all day? → Gemini
Need to create a presentation quickly? → Gamma
